An automated production line in a bright factory hall.

For regulated manufacturers

One controlled standard for every NPI, first article and engineering change.

TaskOptic turns your corporate process into approved templates, runs each program through signed phase gates, and keeps a record your auditors can verify. It works between your QMS and your MES.

Template control

One controlled standard, every site.

Write the process once at head office. Every plant runs the approved version, and every copy keeps its lineage.

The TaskOptic template builder: the published New product introduction standard, with Planning and Pilot build gates, typed steps and a tolerance on pilot yield.

Phase gates

Programs that cannot skip a step.

Each project follows the template version it started from. A gate holds until a signer says Go.

Project HQ-0007 in TaskOptic with the Planning gate review open: criteria, readiness checks and the owner of each discipline.

Signed records

Signed, traceable records.

Each reading is checked against its accepted range, and every sign-off asks again for a password and an authenticator code.

Corrective actions

Failures become corrective actions.

Raise an 8D from the failed step. Each stage needs its section, and the close is a signature.

Integration

Fits your systems and your IT rules.

Single sign-on with required MFA, and a read-only link that reads routes from your MES without writing to it.

Inside TaskOptic

The template your plants follow, and the project your team signs

The same screens your engineers, approvers and auditors use, from the live sample company.

01 · Template view

Templates are controlled documents.

Submit with a change reason and an effective date. A reviewer and an approver sign in turn, and rejected versions stay in the history.

Template builder for the New product introduction template: an outline of Planning, Pilot build and Handover sections with Gate markers, typed steps such as Yes/No, Text and a pilot yield number with tolerance, and the section panel.
02 · Project view

Gates that hold.

The review shows what is done, what failed and who owns each discipline. The signer decides Go, Go with conditions or Rework.

Gate review drawer for the Planning gate of project HQ-0007: criteria, readiness checks (all required tasks done, no unresolved failures), owners per discipline, and the decision options Go, Go with conditions and Rework with a Sign Go button.
03 · Corrective action

Failures become corrective actions.

Raise an 8D from the failed step. Each stage needs its section, and the close is a signature.

Task drawer for Overall length (mm) on project ASH-1043: status Blocked, nominal 120 mm, accepted range 119.8 to 120.2 mm, out of range fails and asks for a reason.
Corrective action CAR-2026-0001: stage stepper from Open through Containment, Root cause, Corrective action, Verification to Closed, and the 8D report tabs D1 to D8.
04 · Audit trail

An audit trail you can verify.

Every change records who, what, when and the outcome, in a hash chain. Verify it, then export it as CSV or JSON.

Audit trail for Meridian Precision filtered to templates: Chain verified, Export and Verify chain buttons, and events such as a template published as v2, a branch copy of a corporate template, and templates created.

The gap

Your QMS holds the procedure. Your MES holds the route. The engineering in between runs on spreadsheets.

New product introductions, first articles, process validation and engineering changes are where audit findings start. Each plant keeps its own copy of the checklist. Sign-offs are typed names and forwarded emails. Phases start before the last one is approved, and a failed check rarely reaches a corrective action.

Which revision?

No one can show which version of the procedure a line followed.

Who approved it?

A name in a cell is not a signature.

Was the gate passed?

Pilot build started; the design review was never signed.

Where did the failure go?

The first article failed. The CAR lives somewhere else.

TaskOptic closes that gap with one controlled record from standard to sign-off.

What you get

Four things your auditors, engineers and IT team will notice

One controlled standard, every site

Write the process once at head office. Every plant uses the approved version, and every copy keeps its lineage.

  • Versioned templates; history never overwritten
  • Review and approval with e-signatures and effective dates
  • Head office, regions and branches

Programs that cannot skip a step

Each project follows the template version it started from. Gates hold until a signer says Go.

  • Go, Go with conditions or Rework
  • Planned dates from lead times, net of holidays
  • One owner per discipline

Signed, traceable records

Every approval re-asks for a password and an authenticator code, and is bound to the exact content signed.

  • Separation of duties enforced
  • 8D corrective actions linked to the failed step
  • Hash-chained audit trail, exportable

Fits your systems and your IT rules

Sign in through your identity provider, and read routes from your MES without writing to it.

  • Single sign-on and required MFA
  • Read-only MES route link
  • AI drafts that a person approves
  • Every module can be switched off per company

How it works

From company standard to signed record, in four steps

  1. Set the standard.

Start from a starter template (APQP, medical design transfer, EMS NPI, Stage-Gate, engineering change) or your own checklist. Add phases, gates, tolerances, owners and lead times.

  2. Approve it.

An author submits; a reviewer and an approver sign with their password and authenticator code. The version takes effect on the date you set.

  3. Run the program.

A project starts from the approved version. Steps go to each discipline's owner, values are checked against tolerance, and later phases wait for the gate.

  4. Sign and close.

Gate decisions, corrective action closes and the final sign-off are e-signatures. Everything is in the audit trail, ready to verify and export.

Built for audits

The controls your quality system expects from software

TaskOptic does not hold your certification; your quality system does. What it gives you are the records an auditor asks for, produced as you work rather than reconstructed afterwards.

See it by industry

Controlled documents
Templates are versioned, reviewed and approved by different people, with a change reason and an effective date.
Electronic signatures
Password and authenticator code at signing, a stated meaning, and a binding to the signed content. Built to support your 21 CFR Part 11 and ISO 13485 requirements.
Attributable records
Unique accounts, permissions per site, and signing rights granted separately from admin rights.
Audit trail
Every change is hash-chained, verifiable and exportable.
Phase reviews
Gate decisions are signed and dated, approved phases are locked, and conditions are tracked to closure. This fits APQP, AS9145 and stage-gate reviews.
Corrective action
8D structure, linked to the failure, closed with a signature.
